Estimates, work orders, and invoices
TimeFotos ties estimates, work orders, and invoices to the same job (project album). You create an estimate for a job, get client approval, convert it to a work order, and then invoice — all from one place.
The flow
- Estimate — Create a branded estimate for the job (line items, quantities, rates, taxes). Send it by email. The client can approve (and e-sign if you use that).
- Work order — Once the estimate is approved, convert it to a work order with one tap. The work order is the same scope of work, now in “doing” status.
- Invoice — From the work order (or from the project), create an invoice. Send it to the client, track payments, send reminders, and export PDFs.
All three stay linked to the same project (job address), so you always know which job the estimate, work order, or invoice belongs to.
Where to find them in the CRM
- Estimates — CRM → Estimates. You can create an estimate from scratch or from a project. When creating from a project, the job address and customer are already set.
- Work orders — CRM → Work orders. Convert an approved estimate to a work order, or create a work order linked to a project.
- Invoices — CRM → Invoices. Create an invoice from a project or from a work order. Line items and customer info can pull from the estimate or work order.
On the project details page you’ll see tabs or sections for Estimates, Work orders, and Invoices for that job, so you can open and manage them without leaving the project.
What you can do
- Estimates: Create branded estimates, add line items (quantity, rate, discount, tax), send by email, track short links, approvals, e-sign, deposits.
- Work orders: Convert approved estimates into work orders, assign to crew or schedule, track status.
- Invoices: Generate invoices from work orders or projects, send payment reminders, record payments, export PDFs.
Settings
- Estimate settings and Invoice settings (in the CRM sidebar) let you set defaults: tax rates, payment terms, branding, line item templates, etc. Use these so new estimates and invoices are consistent.
